Identify what is actually affecting the funds
A reserve, a scheduled settlement interval, a minimum payout threshold and a payment exception are different issues. Start with the transaction references and provider records, then identify which condition applies. Avoid describing every delay as a reserve. Your finance team should be able to explain whether proceeds are not yet eligible, retained under agreed terms or affected by an exception requiring investigation.
Read the written calculation and release terms
Where a reserve applies, confirm the amount or percentage, calculation method and contractual conditions for adjustment and release. Ask how refunds, disputes or termination affect the arrangement. A headline description is not enough to forecast available working capital. Keep the relevant schedule with the main agreement and resolve contradictions. This guide does not establish that a specific hold duration applies to every merchant.
Reconcile the settlement journey
Connect gateway references, provider settlement reports and receiving-bank entries. Check currencies, fees, thresholds and the receiving account details agreed with the provider. A successful customer payment is not identical to a completed bank payout. If there is a mismatch, provide the support team with a concise timeline and the records needed to locate it. Do not share payment credentials or unrelated customer information in an informal enquiry.
Plan cash flow around the confirmed arrangement
Model supplier payments, delivery costs and possible refunds against the actual settlement schedule and reserve terms. Forecast periods with larger future-service obligations or higher volume. Ask how changes are reviewed before committing to a new campaign. Where funds remain unexplained, follow the provider escalation and complaints process and seek appropriate advice for the contract. Switching the description of a delay does not resolve the underlying accounting or contractual question.
Frequently asked questions
Does this guide set the terms of my account?
No. It supports practical preparation. Your provider’s confirmed requirements, written proposal and agreement govern the arrangement.
Your proposal defines the contracting provider, delivery responsibilities, eligible markets and agreed commercial terms. Services remain subject to underwriting and provider availability.
